Departure Lounge Booking Terms & Conditions

** Please read these terms and conditions carefully as all Departure Lounge bookings are made subject to these terms and conditions. **

SAMARAD PTY LTD trading as Mantra Group operates, Peppers Retreats, Resorts and Hotels, Mantra Hotels Resorts and Apartments, BreakFree Hotels Resorts and Apartments and Affiliated Resorts.

IMPORTANT NOTE: Some conditions including final payment/deposit /cancellation and amendments may vary slightly depending on the property booked.  Please confirm the exact conditions directly with Departure Lounge before booking.

Definitions used in these Terms and Conditions

In these terms and conditions, "Mantra Group" means Samarad Pty Ltd trading as Mantra Group, and includes the current and former officers, employees and agents of Samarad Pty Ltd.

"You" and "your" mean the person making the booking.

Personal Use Only

The purpose of the Departure Lounge is to provide a benefit to approved members.  Membership to the Departure Lounge cannot be purchased, transferred or used for commercial benefit.  The Departure Lounge rates apply only to bookings for genuine personal use by you and the people staying with you. Bookings made through the Departure Lounge cannot be on-sold or transferred to another person. 

Photographic identification matching the name on the booking must be shown on check-in. 

If a booking is not made for genuine personal use, or if photographic identification matching the name on the booking is not shown on check-in, the booking may be cancelled and you may be liable to pay liquidated damages equal to the full booking amount plus any other costs incurred by Mantra Group in connection with the booking, as compensation for breach of these terms and conditions.  Any pre-payment will be forfeited to Mantra Group as liquidated damages under this term.

Bookings for non-personal or commercial use can be made directly with the property and cannot be made through this website.

How to Book / Quotes and Reservations

Bookings can be made over the internet at departurelounge.com.au, or by calling Central Reservations on 13 15 17 (if calling from within Australia) or + 61 7 5665 4450 (if calling from overseas).  If booking via Central Reservations, an additional $50 service fee will be charged.

Reservations are subject to availability and applicable pricing at the time of booking.

Minimum length of stay restrictions do apply.

Full Payment

Full payment must be made at the time of booking.

Prices listed include GST.

A 2% surcharge will apply to all credit card and debit card transactions.

Payment Options

Payment may be made by Visa, Mastercard, Diners and American Express.  A 2% surcharge will apply to all credit card and debit card transactions.

Cancellation - Terms and Charges

All bookings are non-refundable.  A 100% cancellation fee applies to no-shows and cancellations.

If after arrival guests are dissatisfied with any aspect of their accommodation and decide to terminate their stay, property management may decide to refund part or all of the booking amount, in its absolute discretion, but is not required to refund any amount.

Refunds will be made via cheque, direct deposit, or credit card refund.  Credit card refunds can only be processed back to the credit card that was used to pay for the booking.

Refund processing may take up to ten (10) business days.

Booking Amendments - Terms and Charges

All amendments to dates and room types are subject to availability.  If the available rate at the time of amendment is greater than the booking amount, you are liable to pay the difference.

A separate $50 amendment fee will apply for each amendment.Changes cannot be made within 14 days of check in.

Rates and Charges

Rates quoted on this website are in the hotel's local currency and are subject to change at any time until full payment is received. Rates are inclusive of GST where applicable.

Rates do not include transport, items of a personal nature (such as laundry, telephone, taxis and room service), meals, transfers, existing or proposed taxes (including airport taxes) or government charges, unless otherwise indicated.

Please visit the individual resort website or contact the Mantra Group for details on specific inclusions and exclusions.

Departure Lounge rates are blocked out during school holidays.

Hotel and Apartment Servicing - BreakFree and Mantra Properties

All Departure Lounge rates are unserviced.  A Mantra 'Refresh' is also available for separate purchase at the property.

Check-in and Check-out

Standard check in time is 2pm
Standard check out time is 10am
Check in and Checkout times may vary, please ask your consultant or check the website.
For guaranteed arrival prior to 2pm, a room must be reserved from the previous night and therefore includes an additional nightly charge.

Late Check out

Leisure Properties (outside capital cities)
Late Checkout is at the discretion of the resort manager and must be requested the night before check out.Late Checkout after 10am will incur the following additional charges applied to your hotel account:
Standard rate of $20.00 per hour
After 2pm the full daily rate applies

CBD Properties (within capital cities)
Late Checkout up to 12 noon is at the discretion of the resort manager and must be requested the night before check out.
Late Checkout after 12 noon will incur the following additional charges applied to your hotel account:
12 noon to 1pm - $60.00
1 pm to 2pm - $100.00
After 2pm the full daily rate applies

Security Deposits and Photo Identification Required on Check-in

An acceptable form of photographic identification matching the name on the booking will need to be produced at the property at check-in.  If photographic identification matching the name on the booking is not provided, the property reserves the right to cancel the booking and you may be liable to pay liquidated damages equal to the full booking amount plus any other costs incurred by Mantra Group in connection with the booking, as compensation for breach of these terms and conditions.  Any pre-payment will be forfeited to Mantra Group as liquidated damages under this term.

A credit card authorisation or imprint is required at time of check-in and may be used to cover incidental items such as (but not limited to) telephone charges, a security bond or deposit for any breakages or damage incurred during your stay, cleaning charges in excess of the normal level of cleaning.

The pre-authorisation process validates the presented credit card, and protects both the cardholder and merchant from increasing fraud incidents.  The pre-authorised amount is set aside by the card issuer for a period of up to 14 days from the date of pre-authorisation.  The pre-authorisation will affect your available funds balance or spending limit.  For more information on this practice please contact your card issuer.  Once a pre-authorisation has been made, Mantra Group cannot release, remove or lower the authorised amount, until we process the final account on departure.  This is a restriction placed on us by the card issuer, and cannot be negotiated.

Where a credit card is not available a minimum $200.00 cash deposit will be required on check-in.  (The actual amount required may be higher at some hotels and resorts.)

Mantra Broadbeach on the Park require a $200 cash bond or credit card pre-authorisation on check in.

Room Allocation

In the unlikely event that Mantra Group cannot provide accommodation at the a property as previously confirmed, Mantra Group will relocate you into an alternative resort of equal or better quality (at Mantra Group's discretion) at no additional expense to you. 

Should there not be a resort of equal or better grading in the vicinity of the original booking, Mantra Group may relocate you to a resort of a lesser grading and refund the difference in value of the booking to you.

Should you wish to choose a different alternative property to the property chosen by Mantra Group under this condition, you will be required to pay any difference in price between the Mantra Group's choice of property and your chosen property.

Kids Club

Additional fees apply.  Fee available on application.  If a child requires one on one care, adequate notice (at least 48 hours) is required and an extra fee may be involved. 

Kids Club is only available to children checked into a resort where a Kids Club is located, and during Queensland and New South Wales school holiday periods.  Kids Clubs do not operate at any Peppers Retreats.

Age restrictions apply. 

A minimum of four children are required to operate the Kids Club.  Mantra Group reserves the right at any time to refuse service if adequate care cannot be provided, or if minimum numbers are not reached. 

Children's Prices

In most cases, children's prices for accommodation refer to children occupying the same room/unit with at least two adults and using existing bedding.  Additional charges will apply if extra beds or linen (including rollaways, sofa beds or cots) are required.

Facilities and Services

Whilst care is taken to ensure that the description of facilities and services of the Mantra Group is accurate, these are continually being changed, upgraded, and on occasion taken out of service.  If any feature/facility is essential to you in choosing a particular property, it is your responsibility to confirm with the property that the feature/facility is available before making a booking. Mantra Group is not liable for omissions, errors or changes to the facilities and services at a property, whether temporary or permanent.

Accommodation facilities listed may not apply to all room types.

Special Requests

Whilst Mantra Group attempts to satisfy all special requests, Mantra Group does not guarantee that special requests can be accommodated.

Maps and Images

Map images, if shown, are for general information and may not necessarily reflect actual routings, locations or services provided.  Destination shots may have been supplied to Mantra Group by third parties and Mantra Group does not guarantee the accuracy of any destination shots.  Photos are indicative only. 

Travel Insurance

Mantra Group strongly recommends that you purchase comprehensive travel insurance at time of booking including but not limited to, the following cover: loss of booking amount through cancellation, loss or damage to personal baggage, loss of money and medical expenses.

Gift Cards

Gift Cards/Vouchers cannot be redeemed on Departure Lounge.

Confirmation

A booking confirmation will be available to view and print off the website or will be forwarded by email when full payment is received.

Unaccompanied minors

All guests under the age of 18 must be accompanied by a parent/guardian over the age of 18.  Mantra Group reserves the right to refuse or cancel any booking made by an unaccompanied minor and the full booking amount will be forfeited to Mantra Group as liquidated damages for any breach of this condition.

Third Party Products and Services

Mantra Group sometimes includes third party products or services in special packages.  Mantra Group is not liable under any circumstances for any failure by third party providers to provide products or services, nor for any error, alteration or change of any kind made by those third party providers following acceptance of a booking by them. 

All third party coupons, vouchers, receipts and tickets are issued subject to the terms and conditions specified by those third parties. 

Mantra Group does not warrant the accuracy of any information, statements or representations made by third parties.  Mantra Group is not liable for any act, omission, default or negligence of any third party provider.

Exclusion of Liability

By booking with Mantra Group, you (and any other person with whom you are associated in any way):

(a) release Mantra Group, its current and former officers, employees and agents from all claims and actions relating to your booking;

(b) agree not to commence or maintain any claim or action against Mantra Group, its current and former officers, employees and agents, relating to your booking; and

(c) agree to indemnify Mantra Group, its current and former officers, employees and agents for any liability, loss or costs arising from a breach of this clause.

You agree that Mantra Group is not responsible for any loss arising out of any occurrences or conditions beyond its control, including but not limited to acts of terrorism, act of God, defects in vehicles, war, strikes, theft, delay, cancellation, civil disorder, disaster, Government regulations or changes in itinerary or schedule.

All travel documents, observance of laws and government regulations are your responsibility.

Every effort is made to ensure that information displayed on this website is correct, but information, rates and Mantra Group websites are subject to change without notice.

Passwords

If Mantra Group gives you a password for use on the Departure Lounge, you must not share the password with any other person without Mantra Group's prior written permission, you are responsible for all use under the password, and you must notify Mantra Group immediately if you become aware or have reasonable grounds to believe that your password has been compromised.
